Toy Sample Approval Checklist Before Mass Production

A sample is useful only when everyone understands exactly what it approves. In real toy sourcing work, problems often begin when the buyer, supplier and inspection team are using different references. A sample may show the right appearance but not the final accessories, packaging or carton data.
Before mass production, turn the approved sample into a written control point. This protects the buyer from avoidable surprises and gives the factory a clear version to follow.
Why a Verbal Approval Is Not Enough
Messages such as “sample approved” do not explain which details were checked. If a color, function, accessory or packaging detail changes later, the team may not know whether the change was authorized.
The safest approach is to identify the sample, record the approval date and attach a short specification sheet with photos. Any later change should create a new version.
What to Confirm on the Approved Sample
Check the physical sample and the order documents together. At minimum, confirm:
- Product function and basic play result
- Color, decoration and visible finish
- Accessories, labels and instructions included
- Retail packaging, carton quantity and carton data
- Any market-specific testing or document request
Build a Simple Approval Record
Use one page with the product reference, photos, approved details, open points and responsible approver. Mark anything that is still pending instead of treating silence as approval.
Keep one approved reference available for production follow-up and final inspection. If the factory proposes a substitute, compare it with the approved record before accepting the change.

The goal is not to make approvals complicated. It is to make the few details that affect saleability visible to every team. A short record with clear photos is easier to use than a long message history.
